Office Manager

About the role

Sunrise Robotics, a robotics company focused on intelligent automation in manufacturing, is hiring an Office Manager to run its Ljubljana offices and support its people operations. The team works across two office floors and a lab, and the manager keeps everything running smoothly, with about 20% of the time spent on people operations.

Key responsibilities

• Act as the first contact for the landlord and handle access, keys, alarms, repairs, cleaning and security and fire safety
• Receive and route deliveries, prepare outbound shipments with labels, packing lists and customs documents, and coordinate deliveries to the lab
• Manage vendors and spend: research suppliers, collect quotes, order within the office budget and keep receipts and documents in order
• Run the kitchen, provide consumables, manage furniture and equipment, visitors and reception, and look after relations with neighbours
• Plan and run company onsite weeks for around 50 people, team events, gifts and travel and accommodation
• Support people operations: onboarding, employee questions, the HR system, health and safety, and student and contractor administration
• Turn recurring work into simple processes, templates and automations

Required profile

• At least two years in office management, facilities, executive support or operations coordination, ideally in a fast-paced, fast-growing company
• Fluent spoken and written English; Slovenian is a plus
• Full-time availability on-site in Ljubljana
• Attention to detail, ownership and composure under pressure

Required skills

• Confidence with Google Workspace, Slack and Notion
• Hands-on use of AI tools to save time on routine work
• Nice to have: event planning at scale, shipping documentation and customs, HR administration or onboarding experience, interest in AI and robotics
