Operations Coordinator – IT Department

About the role

The Operations Coordinator will serve as the administrative backbone of Aleph’s IT department, ensuring smooth and efficient processes across a fast‑paced, international environment. Working closely with IT leadership, you will manage procurement, budgeting, project tracking and internal communications, turning chaos into order.

Key responsibilities

• Create, manage and follow up on purchase orders for hardware, software licences and services.
• Track invoices, coordinate with vendors and Finance to keep approvals and deliveries on schedule.
• Maintain an up‑to‑date register of contracts, renewals and vendor agreements; support vendor onboarding with Legal and Finance.
• Record IT spend, assist Finance with cost allocation, and prepare monthly/quarterly spend summaries.
• Support the annual IT budgeting cycle by consolidating inputs from sub‑teams.
• Maintain a live register of IT projects, flag delays or blockers, and organise meetings (scheduling, agendas, minutes, action‑item follow‑up).
• Prepare reports and presentations for IT leadership and act as the department’s coordination point.
• Manage the IT admin inbox, keep org charts and shared documentation current, and support onboarding logistics.
• Document reliable processes and identify opportunities for simplification or automation.

Required profile

• Organised, proactive generalist with strong administrative experience.
• Comfortable handling multiple priorities in a dynamic, international setting.
• Excellent communication and stakeholder‑management skills.
• Ability to work independently and bring structure to ambiguous situations.
