Executive Assistant (Remote) for Fast-Growing Marketing Agency

About the role

We are a fast‑growing Shopify retention agency looking for a proactive Executive Assistant to support our Founder and help shape our people operations. This remote‑first position offers a clear path toward a Founder’s Associate role while working with a dynamic, growth‑focused team.

Key responsibilities

• Manage the Founder’s inbox across Slack, email and LinkedIn, identifying and prioritising urgent matters.
• Own calendar coordination, meeting preparation and follow‑up to ensure seamless schedules.
• Track open points and priorities, preventing any tasks from falling through the cracks.
• Handle logistical arrangements such as reservations, team travel and event planning.
• Coordinate and repurpose marketing content across platforms, maintaining brand consistency.
• Assist the People team with contracts, admin tasks, candidate screening and talent pipeline management.
• Identify and implement efficiency improvements using AI and automation tools.

Required profile

• Previous experience as an Executive Assistant or Operations professional in a fast‑growing environment.
• Strong ownership mindset – you act without being prompted and follow up assertively.
• Excellent organisational skills, able to juggle multiple workstreams simultaneously.
• High level of discretion handling confidential information.
• Interest in marketing, business growth and technology.
• Fluent English communication skills.
• Availability to be online from 12 pm to 5 pm CET.

Required skills

• Proficiency with Slack for communication and task management.
• Experience using LinkedIn for outreach and networking.
• Comfort with AI‑powered tools and automation platforms.
